What we keep, and why

The Sanctum Society is a private society, and it runs on knowing who its people are. This page says what we collect when you apply or become a member, what we do with it, and what you can ask of us.

Who we are

The Sanctum Society is run by KamaanSolutions, which is responsible for the information described on this page.

What we collect

When you ask to join
Your name, country, city, phone or WhatsApp number and email, and a member's ID if you were given one. If you begin the form and leave before sending it, what you had typed is kept so that we can follow up.
When you apply
Your age, what you do, your company or venture and its stage, the links you choose to give us (such as LinkedIn, Instagram or a website), and your answers about what you need.
When you are a member
Your profile and photo, your membership card number, the gatherings you show interest in or attend, and the members you have met.
When you visit
Your IP address and browser type, and how you arrived: the link you followed and the site that sent you. We count visits without cookies: each page view is noted with the page, your country and whether you were on a phone or a computer. Your IP address is used for a moment to tell one visitor from another that day, and is not kept with the count.

What we use it for

To decide on applications, to run membership and gatherings, and to write to you by email or WhatsApp about your application or the Society. We also use it to keep the site secure, and to learn which of our invitations bring people to the door.

If you tick the box when you join, we also send you news and invitations by email. You can stop these at any time by writing to us.

What other members see

Other members can see your name, your city and the one line you write about yourself. The rest of your profile, including your photo and how to reach you, is shown only to members you have met in person and connected with. You choose what goes on it, and you can change it at any time from your account.

Cookies

A few cookies are needed for the site to work: they hold your place in the join form, remember a member's invitation if you followed their link, and keep you signed in. One remembers your answer to the cookie notice.

Advertising cookies from Meta are separate. If you are in the UK or the European Union, they are set only if you allow them. Elsewhere they are on unless you turn them off. You can change your answer whenever you like.

Meta

Where advertising cookies are allowed, we tell Meta (the company behind Facebook and Instagram) that you visited, and if you go on to join, apply or be admitted, we tell it that too. With those reports we send your email, phone number and first name in a scrambled form that Meta can match to an account but cannot read back, along with your IP address and browser type. We do this to measure our advertising and to show it to people likely to be a good fit. We never send Meta your application answers.

Who else handles it

We do not sell your information. It is handled on our behalf by the companies that run the site for us: our hosting and database provider, the network that sits in front of the site and protects it, and the service that delivers our email. They may process it outside the country you live in.

How long we keep it

For as long as your application is open or you remain a member. If you ask us to delete it, we will, unless the law requires us to keep something.

What you can ask of us

You can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it, or tell us to stop using it for advertising. Write to us and we will answer within a month. If you are in the UK or the European Union and are unhappy with how we have handled it, you may also complain to your data protection authority.

Age

The Society is for people aged 16 and over. We do not knowingly keep information about anyone younger, and if we learn that we have, we delete it.

Changes

If what we collect or how we use it changes, this page will change with it, and the date below will move.
